Volunteer Certification

MVA PAC Volunteer Code of Conduct

A parent/guardian who accepts a position as a PAC Volunteer shall:

A parent/guardian who accepts a position as a PAC Volunteer shall:

·  Uphold the constitution and bylaws, guidelines, policies and procedures of the PAC

·  Perform their duties with honesty and integrity and in a timely manner

·  Ensure all PAC supplies are returned to the PAC Supplies Bin

·  Work to ensure that the well-being of students is the primary focus of all decisions

·  Respect the right of all individuals

·  Take direction from the PAC Executives, ensuring that guidelines, policies and procedures are followed as provided by PAC Executives

·  Strive to be informed and only pass on information that is reliable and correct during the course of their volunteer duties

·   Respect all confidential information

·  Understand the PAC is not a forum for the discussion of individual school personnel, students, parents, PAC or other individual members of the school community, but that effective mechanisms exist within the school system and PAC for resolution of concerns about individuals. The Volunteer will direct the person to speak with a PAC Executive for further support and guidance about their individual concerns

·  Volunteer who is approached by someone with a concern relating to an individual, fundraiser or event is in a privileged position and must treat such discussion as confidential, within the bounds of the PAC Constitution.  If questions, complaints, or concerns are brought to a Volunteer, they must pass on that question, complaint or concern to a PAC Executive right way.

 

Who to Go to for What

There are several groups of people within our school community that are here to support you. Each group has a different function, so we outlined who to go to for what depending on your need:


Murrayville Academy Board of Directors – They make goals, determine policies, set budgets and oversee the upper management of the school. You would go to them for concerns about fees and overall direction and policies of the school. You can reach the board by email board@murrayvilleacademy.ca


School Administration – They handle the day-to-day operations of the school and oversee the teachers and other faculty. You would go to the for questions about general school information. You can reach the school administration by emaioling operations@murrayvilleacademy.ca


Teacher – Take on day-to-day management of the education and support of the students. You would go to them for questions about your child specifically. You can reach your child’s teacher by emailing them directly to their specific email address. If you do not know your child’s teacher’s email address, please reach out the school administration to get it.


PAC – Coordinate all things FUN! You would go to them for fundraisers, events, school enrichment such as playground improvements, gym equipment, school or yard improvements or teacher appreciation gifts. You can reach the PAC at pac@murrayvilleacademy.ca


Of course, the above is not an exhaustive representation of needs that will arise. If you have any questions, feel free to reach out to the PAC and we will direct you to the right person to contact if we are not able to help you

Cash Handling Policy

For any Event or Fundraiser that requires the PAC to collect cash, a cash form must be filled out and affixed to the poly mailer envelope that contains the cash. See sample below. Printed off forms are located in the PAC Supply Bin in at the school, along with the poly mailer envelopes.


Two people need to sign off on the amount and the depositor needs to confirm and sign off on the amount when they open the poly mailer envelope to make the deposit. Cash is not to be removed from the school unGl two people have signed off on the form and a photo of the form needs to be emailed to pac@murrayvilleacademy.ca so the treasurer can ensure all deposits are accounted for.

Purchasing on Behalf of the PAC & PAC Reimbursement Polic

While fulfilling your duties as a volunteer with the PAC, you may be asked make purchases on behalf of the PAC.  Purchases that need to be reimbursed by the PAC must be approved by the PAC before the purchase is made.  To be reimbursed for the purchase, you need to email pac@murrayvilleacademy.ca a photo of the full receipt with proof of purchase if separate from the receipt (such as a receipt with a separate print out from a credit card machine) along with the following details:


·    Fundraiser or event the purchase was made for or note other reason for purchase

·     Amount paid and if it is the full payment or if any other payments are to follow (if necessary)

·    Description of purchase if not obvious from the receipt

·    Email you want the etransfer to go to if different than the one you are using


All purchases are to be approved by a minimum of four PAC Executives.  PAC Executives can make discretionary purchases of less than $100 without approval.
